Start with an applicability register
List workforce locations, establishment type, headcount, employment arrangements and benefits in use. These facts determine which obligations need specialist confirmation. Record each possible obligation, why it may apply, the owner, due date, reviewer and evidence location.
Do not copy another company’s calendar. Applicability can change with location, workforce composition, business activity and regulatory updates. Have qualified legal, tax or compliance advisers validate the register for your organisation.

Build a reliable employee-record checklist
Create one joining checklist and one controlled employee-file structure. Collect only information the business genuinely needs, restrict access and define how corrections are made. Missing records are easier to fix during onboarding than months later.

Put controls around monthly payroll
Set a cut-off for attendance, leave, new joiners, exits, incentives and deductions. Separate preparation from approval, investigate unusual movements and reconcile final payroll with payment and statutory records.

Review workplace practice, not only documents
A policy is useful only when managers follow it consistently. Test a sample of real cases: a leave request, new joiner, employee concern, attendance exception and exit. Compare what happened with the written process and correct the gap.

Use a simple review rhythm
Run a short monthly review for deadlines, missing inputs and unresolved exceptions. Add a quarterly review of registers, policies, employee files and provider performance. Once a year, reassess applicability and the complete policy set.
